Your Microsoft 365 subscription could be doing more for your business than you realize. Before investing in additional security or management tools, it’s worth taking a closer look at what’s already included and whether you’re getting the best value from your Microsoft licensing.

While both Microsoft 365 Business Standard and Microsoft 365 Business Premium include the familiar productivity tools your team relies on, the difference between the two goes far beyond Email, Word, Excel, and Teams.

During the last year, our sales team has noticed a common trend: many businesses continue  try to purchase standard + Add ons to save some money but with the price changes, this only makes you save less than before and admins have to manage multiple licenses for different users groups, while Premium is only one license they need to manage. These limitations become more noticeable as your business grows.

In addition to that, Microsoft made changes in pricing and features on July 1. Microsoft 365 Business Standard and basic are going up in price while pricing for Premium remains the same.Business Standard is becoming a less attractive long-term option for organizations looking to maximize value.

Business Standard vs. Business Premium

Standard will give:

  • Desktop version of the Office apps.
  • 100 GB mailbox (50GB archive)
  • Safelinks Lite (Scans links every time you click on any Office app/email but does not allow any configuration on what it should check for, while Premium does has the full version) (Added on July 1st)
  • Teams (Optional) (There is a version without Teams)
  • SharePoint for file sharing (This is not the same as having a robust SharePoint site that is configured with roles and groups, we do offer a service to create this for you)

Premium has:

  • 100 GB mailbox (Up to 1.5 TB archive storage) Users receive 100 GB of archive storage by default. If more space is needed, administrators can enable auto-expanding archiving (disabled by default), which automatically increases archive storage in 10 GB increments.
  • Includes Microsoft Defender for Office 365 Plan 1 and Intune Plan 1 (Having these licenses doesn’t automatically mean they are configured or providing full protection. They must be properly configured by your IT team or through a managed service, such as the one we offer.)
  • It’s the minimum SKU that remote organizations should have. It’s the minimum Microsoft 365 SKU recommended for remote and hybrid organizations because it includes essential security and device management features, such as Intune, Conditional Access, and Microsoft Defender.

And many other features that can be seen here:

For example, it can block unauthorized USB devices, require device compliance, and restrict access from untrusted or unsecured Wi-Fi networks.) Entra ID, Microsoft Entra ID Plan 1, which is different from Intune. Intune manages and secures devices, while Entra ID manages user identities and sign-ins. It also enables Conditional Access policies to restrict access based on factors like location, device, or sign-in conditions.

Includes Microsoft Intune to manage devices, enforce security policies, protect business apps, and remotely wipe data from lost or compromised devices.

Microsoft 365 Business Premium combines core productivity apps (Word, Excel, Teams) with robust cybersecurity (Microsoft Defender, Intune) for up to 300 users. Key features include advanced email and device protection, Windows Pro upgrades, and centralized IT management:

Microsoft 365 Business Premium includes everything in Business Standard while adding the security and device management capabilities modern organizations need. For businesses with hybrid or remote employees, Business Premium should be considered the minimum recommended SKU, as it helps reduce the risk of users accidentally compromising company data or devices while working from different locations.

When Business Standard Stops Being Enough

The real turning point isn’t about needing “more Microsoft”  it’s the moment a company stops needing just email and Office apps, and starts needing control, security, and visibility over its users and devices.

Across the projects we’ve worked on, the move from Business Standard (or any license without Intune) to Business Premium tends to make sense once a company starts running into situations like these:

  • Remote or hybrid staff whose devices need to be managed without ever being physically in-office.
  • Devices set up manually, each ending up with different apps, permissions, and configurations.
  • No centralized way to confirm whether devices are encrypted, updated, or protected.
  • Employees accessing corporate data from personal devices.
  • Onboarding and offboarding that still depend on a string of manual tasks.
  • A growing need to reduce exposure to malware, ransomware, credential theft, or access from unsecured devices.

Standardizing what used to be inconsistent. We’ve worked with companies where laptops went out the door with no standard configuration, some users had local admin rights, and BitLocker wasn’t enabled everywhere — a real problem if a device is lost or stolen. With Intune, they were able to centrally push configurations, apps, and security controls, and actually verify that devices were staying compliant.

Offboarding with confidence. When someone leaves the company, the lack of centralized management makes it hard to confirm that corporate data was actually removed from their device. With Intune, access can be revoked, managed data wiped, and the device dropped from the list of trusted devices — all without ambiguity.

Protecting data on personal phones — without managing the whole phone. On personal devices, Business Premium helps protect corporate data inside corporate apps without requiring full device management. For example, it can prevent data from Outlook or Teams from being copied into personal apps.

Seeing more than an antivirus ever could. Microsoft Defender adds real visibility into what’s happening across devices. Instead of relying solely on a traditional antivirus, teams can spot suspicious behavior, review alerts, and respond faster when a device is compromised.

Conditional Access as damage control. We’ve also seen cases where a compliance and access policy — Conditional Access — would have limited the blast radius of an incident, by blocking an unencrypted, outdated, or flagged device from continuing to access company data.

As Selma Simental, our Cloud Infrastructure Engineer, puts it: standardized device configuration and encryption aren’t optional extras anymore  they’re baseline hygiene, and Intune is what makes enforcing that hygiene practical instead of a manual, device-by-device chore.

The bottom line: Business Standard can still be the right fit for small companies that only need email, collaboration, and Office apps, with a handful of devices that are easy  manually. But Business Premium starts paying for itself the moment a company grows, goes remote, or needs security controls that are no longer realistic to maintain manually.
